Format 100 CVs in the time it takes to make a coffee

Tenders, RPO programmes, job fairs and graduate intakes arrive in stacks, not singles. Bulk processing formats an entire longlist into one consistent, branded template in a single batch.

  • Up to 100 CVs per batch
  • Mixed file types
  • ZIP or individual export
How it works

Bulk formatting in four moves

  1. Drop the files

    Upload up to 100 CVs — a folder, a multi-select or a ZIP.

  2. Choose template and options

Pick the client template and whether to anonymise the batch.

  3. Watch the live queue

Progress is shown per file; unreadable files are flagged with a reason.

  4. Spot-check and export

Review a sample, then download everything as a ZIP or individual files.

Capabilities

Purpose-built for volume

Live queue

Track every CV in one live view — queued, processing, ready or flagged. No more "which folder is this in?"

Error triage

Password-protected, empty or corrupted files are flagged with the reason, while the rest of the batch keeps going.

One template, every CV

Every CV in the batch lands in the same branded template, so a longlist looks like one document set.

Batch anonymisation

Apply the same blind-CV rules to every file in one switch — ideal for tender and public-sector shortlists.

ZIP export

Download the whole batch as a single ZIP, or pick out individual PDFs and Word files.

Unlimited seats

Split review across the whole team — nobody needs a paid seat to help clear the backlog.

Why it matters

Volume spikes shouldn't mean weekend work

The backlog problem

At 20–40 minutes per manual reformat, a 100-CV tender response is roughly 35–65 hours of formatting — more than a full working week for one person. Agencies either bring in temporary help, push the deadline or send inconsistent documents.

With bulk

Clear the backlog in hours, not days

With bulk processing the formatting itself takes minutes. The team's time goes into what actually needs a human: checking a sample, making judgement calls on borderline candidates and writing the covering note.

  • Consistent output across the whole longlist
  • Same-day submission on large requirements
  • No temporary staff for volume peaks

Best practice

How to prepare a batch for the best results

Stack of papers marked with colourful sticky tabs for review
  • One batch per client template. If different clients need different layouts, run one batch per template.
  • Remove duplicates first. Candidates often apply twice; de-duplicate by name and email before uploading.
  • Unlock protected PDFs. Password-protected files are flagged — ask for an unlocked copy.
  • Name files consistently. "Surname_Firstname_Role" makes the ZIP easy to navigate.
  • Spot-check a sample. Review five to ten CVs from each batch, focusing on scans and unusual layouts.
  • Decide on anonymisation up front. Blind evaluation? Switch it on for the batch so every CV is treated the same.

Security

Candidate data, handled carefully

A batch of 100 CVs is a lot of personal data. It gets the same protection as a single CV.

Padlock on a laptop keyboard symbolising encrypted data
  • Encrypted in transit and at rest — CVs are protected from upload to export.
  • Access controls and audit logs — only your workspace can see your candidates, and exports are logged.
  • Retrieve or delete on demand — respond quickly to candidate data requests.
  • GDPR-friendly workflows — anonymise before sharing and keep only what each stage needs.
  • No copy-pasting into public chatbots — consultants use the AI tools inside the FormatMyCV editor instead.

FAQ

Bulk processing FAQs

How many CVs can FormatMyCV process at once?

FormatMyCV formats up to 100 CVs in one batch on the Pro plan. Upload a folder or ZIP of mixed PDFs, Word files and scans, choose a template and optional anonymisation, and follow progress in a live queue. Files that cannot be read are flagged with a reason; everything else downloads as a single ZIP or as individual PDF and Word files.

Can I mix file types in one batch?

Yes. A single batch can contain PDFs, Word documents, scans and images. Each file is read with the right method and formatted into the same template.

What happens if a file cannot be read?

It is flagged in the live queue with a reason — for example a password-protected PDF or an empty file — while the rest of the batch continues. Fix or replace the file and re-run just that one.

Can I anonymise a whole batch?

Yes. Switch on anonymisation for the batch and every CV is exported as a blind CV with the same fields removed, which keeps a shortlist consistent.

How do I download the results?

Download the entire batch as a single ZIP, or download individual CVs as PDF or Word files.

Which plan includes bulk processing?

Bulk CV processing is included in the Pro plan ($500/month, up to 700 CVs per month). Extra CV credits can be purchased if a month runs over.
